Mobile Money Reconciliation Template: What a Daily Control Sheet Should Actually Do
A useful reconciliation template does more than record transactions. It tests whether the cash, float, platform balances and supporting references agree before the day is closed.
What daily reconciliation should answer
- What was the opening physical cash by currency?
- What was the opening wallet, platform or settlement balance?
- What transactions changed cash or digital value?
- What should the closing balances be?
- What was actually counted or shown by the platform?
- Which differences or missing references require review?
Cash and e-float move in opposite directions
For a typical mobile-money cash-in, the agent receives physical cash while electronic value is transferred out. For a cash-out, physical cash leaves while electronic value comes in. Reconciliation must therefore check both sides rather than treating the cash drawer as the whole business.
Why a transaction sheet is not enough
A transaction sheet can be complete and the business can still be short if opening balances, float additions, settlements, reversals, fees, or actual closing balances are not independently checked. Daily reconciliation is the control layer that tests the records against the money.
What to review when the numbers do not agree
Start with exceptions: missing references, reversals/corrections, float added or removed, unsettled provider items, fees, customer receivables, staff transfers and any transaction recorded outside the normal workflow. Document unresolved differences rather than carrying them silently into the next day.
Six controls a serious reconciliation sheet should include
- Settlement-aware reconciliation: delayed provider value stays open until actually resolved.
- Internal-transfer matching: both sides of money moved inside the business must be posted and matched.
- Currency integrity: Each operating currency stays separate; FX movement records both sides and the rate. USD/LRD is one field-tested example.
- Cause-based investigation: a difference is traced to a documented cause rather than erased with an adjustment.
- Explained versus resolved: knowing the cause does not close the item until the money or status is actually settled.
- Evidence-backed close: references, platform balances, exception status and manager review support the final decision.
